1. Acceptance of Terms

By submitting an application, making a booking, or participating in any workshop, you agree to these Terms & Conditions and confirm that you have read and understood them in full.

Participation is conditional upon acceptance of these Terms.

2. Booking & Payment

2.1 Deposit

A non-refundable deposit is required to secure your place. A booking is not confirmed until payment is received.

2.2 Balance

The remaining balance must be paid no later than 60 days before the workshop start date. Failure to pay may result in cancellation and forfeiture of the deposit.

3. What is Included / Not Included

Workshops include:

  • Accommodation

  • Transport during the workshop

  • Photography guidance

Workshops do not include:

  • Flights

  • Meals and drinks

  • Travel insurance

  • Personal expenses

4. Mandatory Travel Insurance

All participants must hold valid and comprehensive travel insurance for the full duration of the workshop.

This insurance must cover:

  • Trip cancellation

  • Medical expenses and emergency treatment

  • Personal injury

  • Equipment loss or damage

Failure to obtain adequate insurance is entirely the responsibility of the participant.

Lightfall Expeditions Ltd accepts no liability for any costs, losses, or damages incurred due to lack of insurance.

5. Cancellations & Refunds

5.1 Cancellation by Participant

All cancellations must be made in writing via email.

  • The deposit is strictly non-refundable under all circumstances

  • If cancellation is made more than 60 days before the workshop start date, any payments made beyond the deposit will be refunded

  • If cancellation is made 60 days or less before the workshop start date, no refund will be issued

Failure to attend the workshop is treated as a cancellation and is non-refundable.

5.2 Transfer of Booking

Participants may request to transfer their place to another individual.

  • All transfers are subject to approval by Lightfall Expeditions Ltd

  • The replacement participant must meet the requirements of the workshop

  • An administrative fee may apply

5.3 Cancellation by the Company

Lightfall Expeditions Ltd reserves the right to cancel a workshop due to:

  • Insufficient participant numbers

  • Safety concerns

  • Circumstances beyond our control

In the event of cancellation by the Company:

  • A full refund of payments made to us will be issued

The Company is not responsible for:

  • Flights

  • Travel insurance

  • Accommodation outside the workshop

  • Any other personal expenses

5.4 Travel Insurance Requirement

Participants are strongly advised to obtain comprehensive travel insurance at the time of booking.

Any claims relating to:

  • Cancellation

  • Illness

  • Travel disruption

must be made through the participant’s insurance provider.

Lightfall Expeditions Ltd is not responsible for reimbursing costs arising from personal circumstances.

Failure to attend the workshop is treated as a cancellation.

6. Itinerary & Conditions

Workshops operate in dynamic natural environments.

The Company reserves full discretion to:

  • Modify itineraries

  • Change locations

  • Cancel specific sessions

  • Adjust schedules

No specific locations, conditions, or photographic outcomes are guaranteed.

7. Assumption of Risk

Participation involves inherent risks, including but not limited to:

  • Uneven terrain

  • Slippery surfaces

  • Remote locations

  • Weather exposure

  • Transport risks

By participating, you acknowledge and accept these risks voluntarily.

8. Liability Limitation

To the fullest extent permitted by law:

  • Participation is undertaken entirely at your own risk

  • Lightfall Expeditions Ltd shall not be liable for injury, loss, damage, delay, or inconvenience arising from participation

  • This includes, but is not limited to:

    • Personal injury

    • Equipment loss or damage

    • Weather-related disruption

    • Third-party services

Nothing in these Terms excludes liability for death or personal injury caused by negligence where such exclusion is not permitted by law.

9. Behaviour & Safety

Participants must:

  • Follow all instructions from guides

  • Act responsibly and safely

  • Respect group dynamics and environment

Failure to comply may result in removal from the workshop without refund.

10. Participant Waiver Requirement

All participants are required to sign a Participant Assumption of Risk & Liability Waiver prior to the workshop.

Failure to sign this waiver will result in cancellation of participation without refund.

11. Winter Addendum (Applicable to Winter Expeditions)

11.1 Additional Hazard Acknowledgment

Participants acknowledge that winter conditions may include:

  • Ice-covered surfaces

  • Black ice

  • Deep snow and unstable terrain

  • Strong winds

  • Freezing temperatures

  • Limited daylight

  • Hazardous coastal conditions

  • Sudden weather changes

  • Road closures

These conditions increase risks including:

  • Slips, falls, fractures

  • Exposure-related injuries

  • Delays and route changes

11.2 Mandatory Equipment

Participants must bring appropriate winter equipment, including:

  • Insulated waterproof boots with grip

  • Ice cleats or crampons

  • Windproof outerwear

  • Thermal layers

  • Waterproof gloves suitable for photography

  • Headlamp

Failure to bring adequate equipment may result in exclusion from activities without refund.

11.3 Safety Compliance

Participants must:

  • Follow all safety instructions

  • Remain within designated safe areas

  • Avoid hazardous terrain

  • Stay with the group

Failure to comply may result in immediate removal without refund.

11.4 Weather & Route Adjustments

The Company reserves absolute discretion to:

  • Modify or cancel activities

  • Change locations

  • Shorten sessions

No guarantee is made regarding conditions or northern lights visibility.

11.5 Transport & Roads

Participants acknowledge:

  • Winter driving carries inherent risks

  • Road closures and delays may occur

The Company is not liable for delays or disruptions.

11.6 Medical Considerations

Participants acknowledge:

  • Emergency response times may be delayed

  • Medical facilities may be remote

Participation is at the individual’s own risk.

12. Force Majeure

The Company is not liable for failure to perform due to events beyond its control, including:

  • Weather

  • Natural events

  • Government restrictions

  • Transport disruptions

13. Governing Law

These Terms are governed by the laws of England and Wales.

15. Local Operator & Third-Party Services

Workshops may be delivered in partnership with licensed local tour operators responsible for transport, access, and on-ground logistics.

These operators act as independent providers. Lightfall Expeditions Ltd is not liable for the acts, omissions, or services of third-party operators.

Participants acknowledge that certain elements of the workshop are delivered by these independent providers and agree to comply with their safety instructions and regulations.

16.Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes, claims, or proceedings arising out of or in connection with these Terms or participation in any workshop shall be subject to the exclusive jurisdiction of the courts of England and Wales.
